“You used too many units” is not a collection strategy. Log the meter, keep the photo, bill the stay.
Where readings live
Payments → Meter readings. The page explains the rules in product language:
- Private units bill the primary tenant.
- Co-living splits across occupied rooms.
- Hostel meters are per room and only appear when a current (already checked-in) stay bills electricity separately.
If electricity is included in rent on the booking, that hostel room will not show up here — by design.
How staff should log a reading
- Open the metered space (or use All metered spaces).
- Add reading — enter the number and attach the photo from the phone (PWA works on site).
- The charge lands on the stay’s payment list when electricity is not included in rent.
Managers can log readings without touching pricing settings. That is a role choice, not a second spreadsheet.
Tie it back to the stay
On the booking Stay tab, Include electricity in rent decides whether this room needs readings. Flip it once per stay so finance and the warden are not arguing.
